Quick Tip: Adding Users via Security Module

The Security Module–a piece of GAGEtrak that helps you manage the logins and users for your system. This module allows you to enable the security, but today we’re going to focus on how to add new users via this Security Module.

To start, let’s open up the Security Module. This can be found in the start menu by just searching for it, or it can be found under the “All Applications” section under your GAGEtrak folder.

Once opened up, you will be presented with the information screen and some of the security modules settings (If you have security enabled already, when you go to open it up, it will ask you for a login. To accomplish the task of adding a new user, the login used needs to have admin rights). At the top of those security settings are the tabs for the Module, we will want to click on the “Users and Groups” tab to add a new user.

The users and groups tab is broken down into two sections, with two boxes in each section. The top left box is showing you all the users in your system, and the box to the right of that is showing you what group the selected user is a part of. The bottom left box is showing you all the groups available, and the bottom right box is showing which users are a part of the selected group. For our tutorial, you will want to click on the “Add User” button underneath the top left hand box.

Once you click on the add user button, you will get the add user pop-up window.

Inside this window you will have the options for the login name, this is what the user will type in every time to sign into GAGEtrak, the custodian name, this is the users full name as GAGEtrak will create a custodian record within the custodians form for this user and link them together. Next is the active login check box, this is where you would dictate whether that login is going to be used or not. Then we have the passwords box, for these, if you leave them blank, the system will ask the user to set their password when they go to sign in the first time.

After the user has been created, we need to link them to a group to give them permissions. To do this, select the user from the users box in the top left corner, then select the group that has the appropriate permissions, then in between the two left side boxes is a button that says “link selected user and group”.

Once linked, the user will have the permissions that the group has set in the “Form Rights” and “Function Rights” tabs. Then you have successfully added a new user to be able to sign into the GAGEtrak system.
