We have location listed in GAGEtrak.

Some gaging is kept in a tool crib, which has its own checkout system.

All gages other than width blocks have a GAGEtrak label, listing Gage ID, Location, Last Calibrated by:, and Calibration due date.

Width Blocks are kept in small containers assigned to specific areas, and the containers have GAGEtrak labels.

The situation in which it is not located in my office.

Problem is, you can’t hold people financially liable. Since money talks and BS walks, you can invent enough company policies to rival the government of a small nation, but none of it matters. If people want to take something, they will. Big struggle for us is not having the right gage in the right place. So folks will go walk the floor shopping for what they need, regardless of whether the person they are taking it from needs it or not. We get it here, and with multiple buildings, it sucks. Gages are everywhere and nowhere to be found when we need them. We even explored RFID tracking chips and labels.

Since we have records of locations in Gagetrak, most of the time we have minimal trouble finding gages as our gages are issued to a specific area or person. We do frequently have gages go “missing”- Usually someone from another department pulls it to use and doesn’t return it. I do occasional location audits and if I find a gage in the wrong area, move it back and then issue that department their own if they need it. The other issue is a “lost” gage. Requests for a gage to be replaced is often a gage misplaced. Our standard is before it is replaced, the operator, supervisor and calibration dept must search for the gage and then a form filled out before replacing it.

Unsure if this would be of any help but here each department has its own budget. When a department needs a gage, if we have the gage in stock we can issue it initially. If it becomes lost, the gage owner, supervisor/lead and calibration tech all look for it. A form is filled out if not found and the department has to “pay” for the gage to be replaced. So personally, not paying but the department has to be responsible for the cost. Unsure if that would work in your company at all? If they don’t do that with the budget between departments, I wonder if just having a physical tracking of the gages getting taken/moved and the cost to replace gages would make upper management pay more attention to it? This places pressure on departments to keep track of gages because they have to take it out of their part of the budget or answer to upper management.

This may mean having 5 types of each gage so each area has their own and since each gage is “issued” to an area, if you audit you can see when a gage is taken, return it to where it belongs, and the department missing theirs can be held accountable to replacing it. It can cause some resentment but once they have to replace it enough times, they start keeping them closer and thus easier to find.

Of course, as you say, people will still sometimes take it anyway or hide that the gage is missing. But maybe paper trails will bring more attention to it and maybe trigger some changes?

Our system is set up so the calibrator and/or a quality inspector issues gages to individual machinist. When finished they get turned in and the calibrator returns them in the system and to its original location. Gages are in the NPR/Metrology room, makes it easier to track them. Our machining cells all have permanent gages that are still tracked in gagetrak. Easy to know what cell they are at when calibration is due.

Our departments are responsible for buying their gages. Whether it’s a newly created gage or a replacement, if we don’t have it on hand, they buy it. When a gage belongs to a certain department, we etch or stamp the department onto the gage. For example, our Assembly departments’ gages all have an “A” on them. Gages temporarily out of place (when known) are marked and dated in GT stating the move. --we would like to start utilizing the crib for this, but haven’t gotten there yet, so for now, this information is being typed into the notes section on the gage record.
