# Quick Tip: Gage Activities

GAGEtrak lets you create activities and assign them to a gage and a custodian. These activities can be just about anything—routine maintenance, a visual inspection, or really whatever you need done on a tool. The nice part is that you can also put these activities on a schedule so they repeat as often as you need.
Here’s how you can set one up.
First, head over to your **Gages** page.
To get there, open the main menu in the bottom-left corner of the application, then click **Gages** at the top left.
Once you’re on the Gages page, click on the **Schedules** tab.
From there, expand the **Activities** section by clicking on the word _Activities_ or the **+** icon with the circle around it. This is where all the activity scheduling magic happens.
To create a new activity, click the **+** icon (again, the one with the circle around it) next to the activity navigation buttons. That will open the **Create Activity** prompt.
Here, you can give the activity a name—or, if you already have one set up, you can select an activity template instead.
After naming the activity, the **General Information** section becomes available. This is where you’ll assign the responsible person (the custodian), and just below that, you’ll set up the schedule for how often the activity should repeat—if it needs to repeat at all.
Once the schedule is filled out, take a look at the top of the General section. You’ll see a **Last Schedule Date** and a **Next Due Date** , with a **Calculate** button in between. Click **Calculate** , and GAGEtrak will figure out when the activity is due next.
When everything looks good, click **Create Activity** beneath the General section. That’ll take you straight to the **Activities** page.
On the Activities page, you can see every activity in the system along with the gage ID each one is associated with. From here, you can also do the reverse of what we just walked through—create an activity first and then attach it to a tool afterward.

This application has been a valuable addition to our calibrations. With busy schedules, it can be difficult to remember that a once every three-month activity is approaching. Having this reminder on the All Gage Schedules Due, and being attached to a specific gage, has been valuable to maintaining consistency in non-regular tasks. I use it for a quarterly PM full cleaning on several 40inch calipers, and a monthly prompt to check light settings on the inspection tables using the light meter.

Hi Drew, we use Activities to keep track of when an item is removed from storage. I noticed that when I go into the Activities view, each Activity has a “Date Done”, but when I look at the History tab under the Gages view, only the “Date Created” is listed for the Activities associated with a specific gage. Is there a way to update that Date Created or get it to show the Date Done instead?

Hi Colin
I thought I’d jump in here and thank you for the question, and offer an alternative way to get to what you’re looking for.
While the History tab doesn’t display the _Date Done_ directly, a quick way I’ve seen other customers get to it is from the Activities History view. From there, you can right-click the desired activity and select Open Historical Record. That opens the activity details where the _Date Done_ is listed.
